These Terms of Use and Privacy Policy govern the use of the www.camccol.ca platform.
This site is owned and operated by CAMCCO-L.
By using this site, you indicate that you have read and understand the Terms of Use and that you agree to abide by them at all times.
This document is subject to the applicable laws of Canada and is intended to comply with its necessary rules and regulations.
Respect for your privacy is of the utmost importance to CAMCCO-L, which is responsible for this site.
The purpose of these Terms of Use and Privacy Policy is to explain to you:
How your personal information is collected and processed. Personal information is any information that can identify you. This includes your first and last name, your email address and your IP address;
What are your rights regarding this information;
To whom this information is transmitted;
The site's policy on cookies;
The Terms of Use of the platform.
1. COLLECTION OF PERSONAL INFORMATIONWe collect the following personal information:
• Last name
• First name
• E-mail address
• Gender at birth and current gender identity
• Age group
• Country or Canadian province of residence
• Ethnic origin and racial or cultural groups
• Level of education and university training
• Occupation
• Main field of study or research
• Membership in a research network
The personal information we collect is gathered through the collection methods described below in the "Forms and Collection Methods" section.
The collection, use, disclosure, retention and disposal of your personal information is done in accordance with the Privacy Act of Canada.
2. FORMS AND METHODS OF COLLECTIONYour personal information is collected through the website registration form.
We use the information collected for the following purposes:
• Statistics
• Contact information
• Website management
3. INTERACTIVITYYour personal information is also collected through the interactivity that may be established between you and our website.
This information is collected through the following means:
• Discussion forum
• Attendance at online courses and activities (via the Zoom platform)
We use the information collected for the following purposes:
• Statistics
4. COURSE RECORDINGAll online courses offered on CAMCCO-L are recorded via the Zoom platform. Webinars and journal clubs are not recorded.
The elements collected via course recording are:
• Sound (audio)
• Video
• Audio transcription
Recorded course video will display:
• The name of the active speaker as displayed on Zoom
• The camera (if turned on) or Zoom profile picture of the active speaker
• Screen sharing (if applicable)
The recording is uploaded to Panopto (https://umontreal.ca.panopto.com) for editing purposes, notably to remove pauses, moments of silence and/or some interactive periods (e.g., discussions, question periods, round-table introductions).
The recording is uploaded to Otter.ai (https://otter.ai) to generate subtitles in the teaching language as an SRT file for integration into the video.
Course recordings are used for the purposes described in the following "Course Recording Archiving" section.
5. COURSE RECORDING ARCHIVINGThe recording of all courses is archived in the Member Area within 7 to 10 working days following the course.
The recording is uploaded and archived on YouTube (https://www.youtube.com/), and published as an "unlisted video", meaning that only people with access to the video's YouTube link (URL) will be able to view the course recording.
The YouTube link for viewing the archived course recording is accessible only in the Member Area, and only to people who are registered for the course.
Translated subtitles (in English or French), in addition to the subtitles in the teaching language, will be integrated into the archived recording. Subtitles are automatically translated on YouTube from the original SRT file uploaded beforehand.
YouTube links (URL) of the archived courses are deleted from the Member Area in mid-August of each year, and course recordings are kept in our internal archives accessible only to the CAMCCO-L team on request.
6. REAL-TIME TRANSLATED SUBTITLES (COURSES OFFERED IN FRENCH)For courses taught in French, the Wordly application (https://www.wordly.ai/) is integrated into Zoom for the duration of the course to generate real-time subtitles translated into English.
7. LOG FILES AND COOKIESWe collect certain information through "log files" and "cookies". These files allow us to process statistics and traffic information, to facilitate navigation and to improve the services offered on our website.
a) Description of the cookies used by the site
Cookies are used for authentication and session management purposes only. They do not collect any personal information.
b) Opposition to the use of cookies by the site
You may object to the storage of cookies by configuring your browser software.
If you decide to deactivate cookies, you will not be able to continue browsing the site as a logged-in user. Any malfunction of the site caused by this manipulation cannot be considered as being of our making.
8. SHARING OF PERSONAL INFORMATIONThe personal information collected by the site is not transmitted to any third party and is processed only by us.9. RETENTION OF PERSONAL INFORMATIONThe person responsible for processing personal information will keep all personal information collected on the site's computer systems under reasonable security conditions for an indefinite period.
10. HOSTING OF PERSONAL INFORMATIONOur site is hosted on DigitalOcean servers, whose head office is located at the following address: 101 6th Ave New York, NY 10013, United States.
The information we collect and process is exclusively hosted and processed in Canada (DigitalOcean Datacenter located in Toronto, Ontario).

The person responsible for processing personal information is responsible for determining the purposes and means used to process personal information.
b) Obligations of the person responsible for processing personal information
The person responsible for processing personal information undertakes to protect the personal information collected, not to transmit it to third parties without you having been informed, and to respect the purposes for which this information was collected.
In addition, the person responsible for processing personal information undertakes to notify you in the event of rectification of personal information, unless this entails disproportionate formalities, costs or procedures.
In the event that the integrity, confidentiality or security of your personal information is compromised, the person responsible for processing personal information undertakes to inform you by any means.
12. RIGHT OF OBJECTION AND WITHDRAWALYou have the right to object to the processing of your personal information by the site.

RIGHT OF ACCESS, RECTIFICATION AND DELETIONYou can access, update or modify your personal information by going to your CAMCCO-L Member Area.

When you create an account on our site, you accept the following:
• That you are solely responsible for your account and the security and confidentiality of your account, including any passwords or sensitive information attached to it; and
• That all personal information you provide to us through your account is current, accurate and truthful and that you will update your personal information if it changes.
We reserve the right to suspend or terminate your account if you use our site illegally or violate the acceptable use policy.
14. SECURITYThe personal information we collect is kept in a secure environment. People working for us are required to respect the confidentiality of your information.
To ensure the security of your personal information, we use the following measures, among others:
• SSL protocols and HTTPS connection
• Database behind a firewall
• Server access only by the administrator
• Account access via username/password only
We are committed to maintaining a high level of privacy by incorporating the latest technological innovations to ensure confidentiality. However, since no mechanism offers maximum security, there is always a degree of risk involved when using the Internet to transmit personal information.
15. LABELThe CAMCCO-L platform is committed to respecting the best practices in terms of cybersecurity and to maintaining the integrity and security of the personal information collected, by following the recommendations of recognized labels (OWASP, NIST...).
16. CONDITIONS FOR CHANGES TO THE TERMS OF USE AND PRIVACY POLICYThese Terms of Use and Privacy Policy may be viewed at any time on our website.
These Terms of Use and Privacy Policy may be amended from time to time to maintain compliance with the law and to reflect any changes to the way we operate our site and the way we expect users to behave on our site. We recommend that our users check these terms and conditions and the privacy policy regularly to ensure that they are aware of any updates. If necessary, we will notify users by e-mail of changes to these terms and conditions and the privacy policy, or post a notice on our site.
17. INTELLECTUAL PROPERTYAll content published and made available on this platform is the property of CAMCCO-L and its creators. This includes, but is not limited to, images, text, logos, documents, downloadable files and anything else that contributes to the composition of this platform. Distribution, resale or publication of this content without permission is prohibited.
18. LIMITATION OF LIABILITYCAMCCO-L will be held responsible for any issues arising from this site. However, CAMCCO-L will not be liable for any problems arising from any improper use of this site.
19. DISCLAIMERIf at any time any of the provisions set forth herein are determined to be inconsistent with or invalid under applicable law, such provisions shall be deemed void and shall be removed from this document. All other provisions will not be affected by the laws and the remainder of this document will still be considered valid.
